Privacy Policy

If you send an inquiry, we pass your name, email, phone, and message to the outfitter you contacted, and to nobody else. They then handle it under their own practices. We keep a copy, and we may email you ourselves about WildHQ and about trips on it, with a way to stop that in every message. We do not sell your personal information. We use cookies and analytics, and you can refuse the non-essential ones. We do not record your screen, and we do not log your IP address against your inquiry. The detail below is the part that governs.

WildHQ is operated by EquityMasters Labs LLC, a California limited liability company doing business as WildHQ (“WildHQ,” “we,” “us”). This policy explains what we collect, why, who we give it to, how long we keep it, and what you can ask us to do about it. It covers thewildhq.com and everything we offer through it, and it forms part of our Terms of Use.

1.What we collect

1.1If you send an inquiry. Your name and email address, which are required. Your phone number, the length of trip you are asking about, your group size, and your message, if you give them. Which outfitter and which trip you contacted.

1.2If you create an account. Your name, email address, and password, which is stored by our authentication provider and never in a form we can read. A profile photograph if you add one. Records of which businesses you belong to and what you can do there.

1.3If you list a business. Everything you publish about it: business name, description, founding year, regions, home base and its coordinates, contact details, website and social links, logo, photographs and video links, and every trip listing with its prices, dates, species, methods, accommodation, and inclusions. Your billing records: your subscription status, its dates, and which inquiry started your billing. Card details are handled by our payment provider and never reach us. We hold no card number, no expiry, and no security code. Your inquiry records: every inquiry sent to you, its status, notes you write on it, and any value you record against it. And any email address you nominate to receive your inquiries, which may belong to someone who has no WildHQ account, such as a shared bookings inbox or a colleague. You are responsible for having their permission, and you can remove an address at any time.

1.4About guides and staff shown on a profile. If an outfitter displays their guides, we hold the name, title, biography, and photograph the outfitter gave us. The outfitter is responsible for having that person's permission, and our agreement with them requires it. If you are shown on a WildHQ profile and want to be removed, write to us at privacy@thewildhq.com and we will remove you and tell the outfitter.

1.5Technical information. Our hosting provider records ordinary server logs, which include IP addresses, for security and reliability. Our error-reporting provider records diagnostic information when something breaks; it is configured not to attach IP addresses, cookies, or request headers to those reports, and it does not record your screen or your keystrokes. Our analytics and advertising providers set cookies and similar identifiers, as section 6 describes.

1.6What we do not collect. We do not ask for and do not hold your date of birth, your address, your government identification, your payment card details, your hunting or fishing license numbers, or any health information. We do not store your IP address or your browser details against your inquiry, so we cannot connect an inquiry to your browsing.

2.Where it comes from

From you. From an outfitter, where they publish material about their business or their staff, or write notes on an inquiry. From publicly available sources, where we build an outfitter's pages from their own website and public listings. And from your device, through the cookies and identifiers in section 6.

3.How we use it

3.1To pass your inquiry to the outfitter you contacted, and to let them reply to you.

3.2To run accounts and publish pages, including authentication, your dashboard, and the public listings.

3.3To take payment from outfitters, including billing, invoices, and dunning.

3.4To email you. Outfitters receive inquiry notifications, billing notices, and service messages. People who inquire receive confirmation and may receive email from us about WildHQ and about trips and outfitters on WildHQ. Every marketing email carries a way to stop it. Service email about an inquiry you sent or an account you hold is not marketing and continues.

3.5To market WildHQ, including advertising, measurement, and audience building through the providers in section 7, and including using outfitters' published photographs and descriptions in our own marketing, as our agreement with them permits.

3.6To improve and secure the Service, including analytics, error diagnosis, fraud and spam prevention, and enforcing our terms.

3.7To meet legal obligations, including keeping records of subscription consent and responding to lawful requests.

3.8To produce aggregated and de-identified statistics about the marketplace. Once information is aggregated so that it does not identify anyone, we use it without restriction, including publicly.

4.Our legal basis, and your choice

We process personal information to perform a contract with you, to pursue our legitimate interests in operating and marketing a marketplace, to comply with law, and with your consent where consent is what applies, which is the case for non-essential cookies and for any marketing by text message. Where we rely on consent you can withdraw it at any time.

5.When you inquire, what goes to the outfitter

5.1We send the outfitter your name, email address, phone number if you gave one, the trip details you selected, and your message. Their reply comes straight to you.

5.2Your inquiry goes only to the outfitter you contacted. We do not route it to any other outfitter and we do not sell it.

5.3From that point the outfitter is responsible for your information and handles it under their own practices, not ours. They are independent businesses. If you want to know what they do with it, or want them to delete it, ask them. We will help you reach them.

5.4The outfitter may add private notes about your inquiry, and may record whether you booked. That is held on our systems and visible to them and to us.

6.Cookies, tracking, and your controls

6.1Essential cookies. We set cookies that are necessary to run the site, principally to keep you signed in. These cannot be turned off without breaking the Service.

6.2Analytics and advertising. We use analytics to understand how the site is used, and advertising and measurement technologies to run and evaluate our marketing, including retargeting. These set cookies or similar identifiers and share information with the providers in section 7.

6.3Your control. Non-essential cookies and identifiers are set only after you accept them, and you can change or withdraw that at any time through our cookie preferences control. We honor the Global Privacy Control signal, so if your browser sends one we treat it as a request to opt out of non-essential tracking and of sharing for advertising.

6.4Third-party content on our pages. Some pages load content directly from other companies, which means your browser contacts them and they can see your IP address and which page you were on. Today that includes map images on trip and outfitter pages, and video players where an outfitter has added a video. This happens whether or not you interact with them.

6.5We do not use session replay and we do not record your screen or keystrokes.

7.Who we share information with

We share personal information with the following categories of provider, who act on our instructions and may use it only to provide their service to us. The current providers in each category are named on our Vendor List, which forms part of this policy and which we update as our providers change.

7.1With the outfitter you contacted, as section 5 describes.

7.2With professional advisers, where we need advice.

7.3Where the law requires it, or to establish, exercise, or defend legal claims.

7.4In a corporate transaction. If WildHQ is reorganized, changes legal entity, merges, or sells all or part of its business, information may transfer as part of it, subject to this policy.

7.5We do not sell your personal information for money.

8.Public information

8.1An outfitter's published profile and listings are public, including business name, description, location, prices, photographs, and any guide names and photographs shown.

8.2Images are stored so that anyone with the direct link can view them, whether or not the page using them is published. If you are an outfitter, treat anything you upload as capable of being seen, and do not upload documents, identification, or anything private.

8.3Inquiries are never public.

9.Advertising choices

9.1We use advertising and retargeting technologies, which involve making information about your visit available to advertising providers so we can reach you or people like you elsewhere. Under California law this may be “sharing” for cross-context behavioral advertising, even though we receive no money for it.

9.2You can opt out through our cookie preferences control, by sending a Global Privacy Control signal, or by writing to privacy@thewildhq.com. Opting out does not stop you seeing advertising; it stops it being targeted using information about your visit.

9.3We may show advertising and sponsored placements on WildHQ and may earn commission from affiliate links. Where we do, we say so where it appears. We do not give advertisers your name, email, or phone number.

10.How long we keep it

10.1We keep information for as long as we need it for the purposes in section 3, and then for as long as we need it for records, disputes, and legal obligations.

10.2We do not currently delete inquiries automatically.An inquiry remains available to the outfitter it was sent to, and to us, until it is deleted on request or under 10.4. Inquiries imported from an outfitter's previous website may date back several years.

10.3Records of subscription consent are kept for at least three years, because the law requires it.

10.4Where an account is closed or has been unpublished for a long period we may delete its data, and we will give the account's owner notice first.

10.5Backups and logs are held on their own cycles and are overwritten in the ordinary course.

11.Your rights and how to use them

11.1You may ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct it, if it is wrong;
  • delete it;
  • stop using it for marketing;
  • stop sharing it for advertising; or
  • stop relying on your consent where we rely on it.

11.2How to ask. Email privacy@thewildhq.com, or write to us at 1111 6th Ave, Ste 550 #391280, San Diego, CA 92101. Tell us what you want and enough for us to find your records. You do not need an account to make a request, and if you sent an inquiry, the email address you used is usually enough.

11.3We will respond within 45 days and will tell you if we need longer. We will not charge you or treat you differently for asking.

11.4We may need to verify who you are before acting, and we may keep information where the law requires it or where we need it to defend a claim. If you ask us to delete an inquiry, we will delete our copy, but we cannot delete the outfitter's copy, because they hold it independently. We will tell them of your request and pass on their contact details.

11.5An authorized agent may act for you if you confirm it.

11.6Outfitters can see, correct, and export most of their own information from their dashboard, and can ask us for the rest.

12.California residents

12.1We currently fall below the thresholds that make the California Consumer Privacy Act apply to us. We offer the rights in section 11 to California residents as a matter of practice regardless, and we will comply fully with the Act if and when it applies.

12.2Categories. In the twelve months before the date of this policy we have collected identifiers (name, email, phone), commercial information (inquiries, subscriptions, recorded trip values), internet activity (analytics and advertising identifiers, server logs), geolocation inferred from a business address, and visual information (photographs). Sources, purposes, and recipients are in sections 1, 2, 3, and 7.

12.3Selling and sharing. We do not sell personal information. We may share it for cross-context behavioral advertising, and section 9.2 explains how to opt out.

12.4Sensitive information. We do not collect sensitive personal information as the Act defines it, and we do not use any information to infer characteristics about you.

12.5No discrimination. We will not deny service, charge a different price, or provide a different quality of service because you exercised a right.

13.Security

13.1Access to accounts is protected by authentication, and the database enforces which account each person can reach at the row level. Traffic is encrypted in transit. Card details never reach our systems. Our error reporting is configured not to capture personal information.

13.2No system is completely secure, and we cannot guarantee that information will never be accessed improperly. Tell us at privacy@thewildhq.com if you think there is a problem, and we will look at it.

14.Children

WildHQ is not directed at children and is for people 18 and over. We do not knowingly collect information from children. If you believe a child has given us information, write to privacy@thewildhq.com and we will delete it.

15.Where information is held

We are based in the United States and our providers store information in the United States. If you contact us from outside the United States, your information will be transferred to and processed there, where the law may differ from your own.

16.Changes

16.1We may update this policy. We will change the effective date and version above, and where a change materially affects how we use your information we will give notice by email or in the Service before it takes effect.

16.2We may update the Vendor List at any time without notice to this policy, because it changes as our providers do. Adding a provider in a category already listed here is not a material change; adding a new category is.
